For each mismatched item, you choose one of two actions. 'Use catalog price' updates the proposal line item to match what your catalog currently says — the right choice when your catalog is the source of truth and the proposal just needs to catch up. 'Update catalog' sets the proposal price as the new standard in your catalog — the right choice when you have negotiated or decided on a new rate and want it to propagate forward to all future proposals. This two-way capability is what makes Price Sync different from a simple audit tool. It does not assume the catalog is always correct; it lets you decide which direction each sync should flow.

The bulk option — 'Match all to catalog' — appears at the top of the panel and applies catalog prices to every mismatched item in one click. This is the right choice right after AI generation, when you want to confirm that all AI-suggested prices align with your catalog before sending the proposal to a client. Green checkmarks appear next to each item as the sync completes. The banner disappears once all items are in alignment.

A practical discipline worth developing: run Price Sync before every proposal send. After you have built the proposal, reviewed the scope, and customized the terms, pause at the Price Sync banner. It takes less than thirty seconds, and it prevents the category of errors that are hardest to fix after the fact — wrong prices that clients have already seen. If a client questions a price that differs from a previous quote, having consistent, synchronized pricing across your catalog and proposals gives you a clean audit trail to point to.

The 'Update catalog' direction deserves its own discipline. Reserve it for deliberate rate changes, not one-off discounts. If you give a client a 15% reduction on your LED wall because they are a repeat customer, do not update the catalog with that reduced price — future proposals will inherit it and your standard rate erodes. Instead, leave the catalog at the standard rate and dismiss the mismatch for that item. Use 'Update catalog' only when the new price represents an intentional, permanent change to your pricing structure. Over time, this keeps your catalog honest and your default rates accurate.
