Poland has one of the better value event production markets in Europe, and Warsaw is the most expensive part of it. That is not a margin story. Suppliers consistently attribute the Warsaw premium to logistics and parking in the city centre — the same rig costs more to deliver, unload and crew in central Warsaw than in Kraków or Poznań. Understanding where the money goes makes it much easier to see which parts of a quote are negotiable and which are simply the cost of working in the capital.
Audio is the most predictable line. A sound package with an operator for a room of up to about 150 people runs around 2,900 PLN net. Step up to roughly 300 people with stage monitors and you are at about 3,900 PLN net. Across the market, sound hire runs from about 800 PLN a day for a basic set to 15,000 PLN for a professional line array serving 1,000 people or more, depending on system power, the number of wireless microphones, the quality of the console, and whether an operator is included. Audio typically accounts for 18 to 25 percent of a total technical budget.
LED is where Warsaw's premium is most visible. A P2.6 screen at 3 by 2 metres — a standard conference and gala size — runs 3,500 to 5,000 PLN per day. The finer P1.9 pitch in the same size costs 4,500 to 7,000 PLN. A larger 12 square metre screen at 4 by 3 metres comes in around 8,500 PLN per day including installation and crew. As a rule of thumb, Warsaw pricing works out near 400 PLN per square metre per day, and indoor LED hire in the capital is openly priced above other Polish cities for the logistics reasons above.
Labour is the largest single component and the one most often underestimated: across Polish technical production, crew accounts for 30 to 50 percent of the total. That ratio is worth holding in your head when you read a quote, because it is a fast credibility check. A quote where equipment dominates and crew is a small afterthought is usually a quote that has not fully scoped the setup, the operation and the strike. For scale, a large gala production can field a dozen technicians plus two directors, with the team cost alone reaching tens of thousands of złoty.

The first is multi-day: suppliers commonly apply around 15 percent off the second day and 25 percent off the third and subsequent days, because the expensive parts — transport, load-in, load-out — happen once regardless of how long you keep the kit. If your event is two days, the second day should not cost the same as the first, and if a quote prices it as though it does, ask why. The second is timing, which works against you rather than for you: weekend dates in May and gala season in December commonly carry a 20 to 30 percent premium. Moving a date by a week inside those periods can be worth more than any equipment substitution.
If your event is hybrid or streamed, budget it as a separate production rather than an add-on. An online conference for 200 to 500 participants with two or three cameras, a video mixer, encoding, a streaming platform and an on-site technician runs 12,000 to 18,000 PLN for a full day. That is a meaningful line next to the in-room technical budget, and it is the item most likely to be quoted vaguely, because the platform, the encoding and the operator are easy to leave implied.
Two more things belong in a Polish budget that are not in the AV quote. VAT is 23 percent, and quotes from technical suppliers are conventionally given net, so the number you are reading is not the number you will pay. And venue technical conditions — available power, load-in access, rigging permissions, get-in windows — vary enormously between a purpose-built conference centre and a historic building, and they drive crew hours more than any equipment decision does. Ask the venue for its technical specification before you brief suppliers, not after.
