How to Choose an Event Company: A 20-Question Checklist

An objective 20-question framework for evaluating event agencies — with a scoring matrix so comparisons are concrete, not gut-feel.

Choosing an event company is one of those decisions most organizers make based on a colleague's recommendation, a first impression in a meeting, or — most commonly — price. The problem: the cheapest offer rarely represents the best value, and a 'good impression' in a meeting does not guarantee smooth execution. Block 1: Experience and specialization (questions 1–5). 1. How many events of similar scale have you delivered in the last 12 months? Look for a number, not vague talk. 2. Can you show a case study from a similar event format? A portfolio PDF is the minimum — a video recap signals the company takes documentation seriously. 3. Do you specialize in my type of event (conference / gala / team-building / trade show)? 4. Which venues do you know best — have you worked at my target venue? 5. Do you have a permanent technical crew or hire freelancers for each project?

Block 2: Process and communication (questions 6–10). 6. Who will be my project manager and will the same person be on-site on event day? A PM change between planning and execution is a red flag. 7. What does your planning timeline look like — what do I get at weeks 1, 4, and 8 before the event? 8. What project management tools do you use? 9. How quickly do you respond to emails during planning? Test this: send a query and measure the response time. 10. Do you run a technical rehearsal the day before the event?

Block 3: Technical and logistics (questions 11–15). 11. Do you own your AV equipment or subcontract it? Own equipment means faster response to failures. 12. What happens if a key technical element fails during the event — do you have backup? 13. Do you provide a live engineer or just set up and leave? 14. How do you handle catering — in-house, a preferred partner, or is that on my side? 15. What liability insurance do you carry and for what amount?

Block 4: Budget and billing (questions 16–20). 16. Is your quote a flat fee or itemized? Flat is simpler but itemized gives transparency — ask for both. 17. What is included and what is billed additionally (crew overtime, extra equipment, script changes)? 18. What are the payment terms — deposit, schedule, cancellation penalties? 19. Do you charge a subcontractor coordination fee? 20. Is the quoted price final or indicative?

Scoring matrix — how to use it. Create a table with 20 questions as rows and companies as columns. Score each answer 1–5: 1 = no or concerning answer, 3 = standard satisfactory answer, 5 = outstanding with specific examples. Multiply scores from blocks 2 and 3 by 1.5 — these determine whether the event runs smoothly. The company with the highest weighted score is your strongest candidate.
