Crew Badges and Name Labels
Set up access zones and badge categories, then print an onsite name label for everyone on a job or crew event, on any label printer.
What you'll learn
- ✓Setting up access zones and badge categories
- ✓Previewing a badge before anything is printed
- ✓Giving each person a category, crew number and zones
- ✓Printing one label or the whole crew, on Brother, Zebra, DYMO or A4 sheets
- ✓Crew events for events that never went through a quote
- ✓Importing a crew list from CSV
Set up zones and categories
Open Settings, then Badges. Click Add the standard set for six access zones (Stage, FOH, Control, BOH, Load-in, Registration) and two categories, AV Crew and Staff, or add your own. Each category has a colour, the zones it grants by default, and can be the default for staff or for freelancers.
Pro tip: Every category shows a live badge preview with your logo and colours, so you see the result before printing anything.
Choose your label size
In the same tab, pick the label stock your printer uses: 62 × 29 mm and other roll sizes, A4 label sheets, or a custom width and height. This is the company default; each laptop can choose its own when printing, because the printer is attached to it.
Open the crew list on a job
On a job, the Badges and labels card lists everyone booked. Each person gets the category for their crew type unless you choose another. Set a crew number, or click Number crew to fill them in, and click a zone to grant or remove it for that person.
Pro tip: Use category zones puts a person back on their category's defaults, so a later change to the category reaches them too.
Preview and print
Click the eye icon to see a person's badge. Click the printer icon for one label, or Print all labels for everyone. In the print window, choose the label size and print a test label first: if it comes out shifted, move it by a millimetre or two and the laptop remembers it.
Pro tip: Names that will not fit the label at a readable size are flagged before you print, not printed tiny.
Events without a job
Some events never go through a quote. Open Crew, then Crew events, and create one with a name, dates and venue. It has the same crew list as a job: add people from your crew or someone new, then number and print.
Import a crew list
Click Import CSV with columns name, email, role, category, crew number and zones. People already in your crew are matched by email, then by name; anyone else is added. A preview shows what each row will do, and rows with a problem are listed with the reason before anything is saved.
