Equipment is plentiful, competition between rental houses is real, and day rates compare well internationally. What catches planners out is that the two largest variables in a Dubai event budget are not on the AV quote at all: when in the year you hold it, and what the venue requires you to spend before you hire a single speaker.
Start with the equipment, because it is the reassuring part. A basic PA suitable for up to 50 attendees runs about AED 300 to 800 per day. A conference audio rig for 50 to 300 attendees — a PA with subwoofers, monitors and a wireless microphone package — sits between AED 1,200 and AED 3,500 per day. Premium configurations for larger rooms run AED 3,000 to AED 8,000. LED screens start around AED 1,600 including delivery for panel sizes in the 115 to 300 inch range. VAT is 5 percent, a fraction of what European planners are used to budgeting.
The thing that will move your number more than any equipment choice is the season. Dubai's event calendar is compressed into roughly October to April, when the weather makes outdoor and semi-outdoor formats viable and the international conference circuit is in town. Inside that window, good crews and the better inventory book out early and price accordingly. Outside it, in deep summer, you will find availability and negotiating room, but most corporate formats move indoors entirely and the venue options narrow. If your date is flexible by even a fortnight, ask what that fortnight is worth before you fix it.
The second is the venue's commercial floor. A five-star hotel ballroom in Dubai typically carries a hire fee plus a minimum spend that can reach AED 150,000 to AED 250,000 before any food or beverage is ordered, let alone production. For many corporate events this single number dominates the budget so completely that the AV specification becomes a rounding error beside it. The practical consequence is that venue selection, not equipment selection, is where your budget is actually decided — model two or three venues fully before committing, rather than optimising an AV quote against a venue you have already signed.

Crew rates in the Middle East are broadly comparable to United States pricing, so a full technical team is a substantial part of that figure and should be itemised in any quote you take seriously.
Two Dubai-specific mechanics are worth knowing, because they are levers rather than fixed costs. First, bundling: hiring audio, video, lighting and crew as one package from a single supplier commonly saves 20 to 35 percent against renting each element separately, and it removes the coordination risk of several companies arriving at one loading bay. Second, geography: delivery is often free within the central zones but can add AED 500 or more for venues out towards Al Ain or Fujairah. If your event is outside the city, ask whether transport and crew travel sit inside the quoted price or outside it.
So what should you expect? For a 50 to 100 person meeting in a hotel with a projector, screen, microphones and a modest PA, AED 3,000 to AED 8,000 for the AV is a realistic band. For a 200 to 300 person conference with a proper PA, LED, stage lighting and a small crew, AED 15,000 to AED 45,000. For a gala or awards evening with full production, the AED 50,000 to AED 150,000 range above applies. None of these figures includes the venue's hire fee or minimum spend, which will very often be the larger number.
